Step monitoring program

It is one of the key ingredients in the success of the project. The project monitoring component must be included during the project initiation phase.

Project monitoring is not a one time affair, it must be carried out continuously at different phases of the project. In most of the companies, the projects are usually monitored by the project managers or team leads. It is their primary duty to design an effective monitoring mechanism that will keep a hawk eye on the project progress. The information about the ongoing project must be conveyed to the managers, supervisors, board members and stakeholders periodically.

The information conveyed gives them a clear idea about the status of the project. Apart from the top level management officials, the information must also be passed to the project team members and also to other employees of the company. This activity is generally taken care by the project coordinators or their supervisors. They have the responsibility to record all the developments that take place in the project from time to time.

What software program will be used to analyze data and make reporting tables? These are important considerations. Another good thing to include in the plan is a blank table for indicator reporting.

These tables should outline the indicators, data, and time period of reporting. They can also include things like the indicator target, and how far the program has progressed towards that target.

An example of a reporting table is below. Data should always be collected for particular purposes. For example, a program team may want to review data on a monthly basis to make programmatic decisions and develop future workplans, while meetings with the donor to review data and program progress might occur quarterly or annually.

Dissemination of printed or digital materials might occur at more frequent intervals. These options should be discussed with stakeholders and your team to determine reasonable expectations for data review and to develop plans for dissemination early in the program. If these plans are in place from the beginning and become routine for the project, meetings and other kinds of periodic review have a much better chance of being productive ones that everyone looks forward to.

Get it right and you lay the foundation for steady and healthy growth. On the other hand, poor model monitoring could spell massive losses… and is doubly risky because model monitoring is mandated by supervisory guidance on model risk management.

In recent years, some global banks have been caught out, suffering millions of dollars in fines due to poor monitoring of their model risk frameworks. Creating a proactive plan is protection for your institution as much as it is investing in growth. So how can you avoid losses and keep your model risk management valid and up-to-date? Immediately after implementing a model, perform a pre-production validation check in order to ensure that the model is conceptually sound.

Bear in mind that model validations need to be kept separate and independent of development. In addition to validation, the institution should carry out periodic analyses; including benchmarking, sensitivity analysis, scenario analysis, and outcomes testing. Frequently monitoring these various aspects ensures that the model is performing as intended and helps the institution understand model limitations and reliance on assumptions.
